Feasts & Friends General Terms & Conditions

By submitting a Vendor Registration for a site or stall at Feasts & Friends or renewing a current site or stall the Vendor acknowledges that they have read, understood and agree to comply with these Terms and Conditions, the Privacy Policy and the Exclusion of Liability and Indemnity.
In these Ts&Cs, “we”, “us” and “our” means St Pauls Lutheran Church Nundah - Feasts & Friends. “You” means the vendor (food truck or stall holder) and any of your employees, agents, contractors and invitees.

​Information for Vendors

Trading Days and Hours - First Friday of every month 5pm - 8pm with pack down to start after 8pm(times may change in Winter Months). Open rain and shine.

Location

1 Atthow Parade, Nundah, 4012 QLD, Australia. St Pauls Lutheran Nundah car park and grounds.

Booking enquiries

If you are interested in registering for either a permanent or casual site/stall please complete our online registration form. 

Please be aware that we do not offer refunds for site/stall cancellations after payment has been made. In the event you have to cancel your booking for a Feasts & Friends event, please let us know prior to COB Monday prior to the Feasts & Friends event so we can arrange a credit to attend on an alternative date. 
Please note the Feasts & Friends reserves the right to cancel a event or vendor attendance at any time.

​Permanent/Ongoing  Monthly Bookings

Site/stalls are booked on a permanent basis one month at a time. Permanent fees are paid in advance by the 10th of the current month for the stall bookings of the following month. Once attendance is confirmed via email we will provide you with all the relevant information needed. Upon arrival at the Feasts & Friends event you will be met at the Event Entrance and shown to your allocated site by one of our friendly staff. Please refer to the Event Map.

​Site/Stall Fees

The first event for each Vendor is FREE!
Food Truck pricing is $100 per event & $10 for electricity.
Market stall is $50 per event & $5 for electricity. (3m x 3m site - BYO marquee)

An invoice will be sent following Vendor confirmation and is payable 2 weeks prior to the event date.

​Casual Bookings

A limited number of casual site/stall spaces are available each month at Feasts & Friends. Casual site/stalls must be booked and payment must be received by 3.00pm on the Monday prior to the Friday that you are attending the event, for us to guarantee a space will be available to you. Once attendance is confirmed we will provide you with all the relevant information you need. Upon arrival at the Feasts & Friends event you will be met at the  St Pauls Lutheran Church Car Park entrance and shown to your allocated site by one of our friendly staff.

​Wet Weather Policy

Should a Feasts & Friends event be cancelled PRIOR to the official trading hours that are advertised to the public (i.e. 5pm event start time for the public) formal correspondence via email or SMS will be sent to vendors and a credit will be applicable. A rescheduled date or postponement of the event may be nominated within 48 hours.

Should a Feasts & Friends event be cancelled due to weather during the official trading hours that are advertised to the public (i.e. 5pm event start time for the public) - no refunds or credits will be applicable.

Feasts & Friends Event cancellation is at the sole discretion of the organiser.

Vendor conduct

Vendor conduct is an important part of each Feasts & Friends event attendance. Conduct specifically refers to professional standards, communication and or cooperation in the spirit of the Feasts & Friends event - including arrival times, vehicle use, language, hygiene, quality standards, illegal sales, drug and alcohol use, correct and honest labelling, presentation, well maintained and safe equipment, courtesy to others including neighbouring vendors, attendees, safety officials, and staff members, and a zero tolerance to inappropriate, rude, or intimidating behaviour in the form of spoken, physical or deemed similar actions. Feasts & Friends reserves the right to evict any vendor from the Feasts & Friends event for any reason, before, during, or after the event. This includes the refusal as well as the cancellation of an advance booking or booking schedule. Please always be conscious of those around you, observe all safety procedures, and please follow all directions upon arrival, during and following each market. Please report any incidents to one of our team members immediately.

Temporary Food Stall License

If you are operating a Food Stall and are unsure about Brisbane City Council requirements for a “Temporary Food Stall License’” please contact the Brisbane City Council on 131 263 or visit their website by clicking here.

​Information Desk & First Aid

The Information Desk is located at in the foyer of the Church Office. A first aid kit and the Lost & Found register are also located at the desk. Please refer to the Event Map.

​Vendor Entry and Exit

Entry times are specific for each vendor and will be emailed to each vendor. Exit time is between 9:00pm – 9.30pm. No packing down during official Feasts & Friends event hours [5pm - 8:pm. All gazebos and gear must be packed down before bringing vehicle on-site. Please do not move your vehicle until customers have vacated and you are given the go-ahead from a Feasts and Friends staff member. 

Arrival Time

Depending on how long it takes you to set up, we recommend that you arrive between 2pm and 4pm (noting that cars should be removed from the market space as soon as possible, and no later than 4pm). 

Setting up, Trade, and Packing Down

All vendors are required to bump in, set up, stock, trade, pack down and bump out individually. Feasts & Friends' staff are not responsible for your stall set up, trade, or pack down however will endeavour to assist wherever possible. Please drive safely, turn your hazard lights on, and remain conscious of those around you. Non-Food Truck vehicles must be removed from the even site before 4pm unless the Feasts & Friends Manager has provided confirmation otherwise. If a Feasts & Friends' staff member requests you to wait before a vehicle departs or to relocate your vehicle, please provide your full cooperation and attention. Please promptly assist us in moving upon request.

Vendor Parking

Vendor parking is available at Union Street. Please refer to the Event Map for clarification on parking areas available to you. No Vendor is allowed to park within the event area unless prior approval has been given by Feasts & Friends staff. Designated vendor parking is available free of charge. 
Please be aware that we cannot be made liable for any parking fines.

​Additional Services

​$5 - $10 Electricity Levy per event. [For vendors that require electricity]

​Insurance Requirements

​All vendors must supply their own Public and Product Liability Insurance, to a minimum of $20 Million in Coverage. Details must be supplied in your application online account prior to first day of trade.

​Restrictions

Restricted goods include the following:
  • Medicines/Alcohol/ Adult goods, Electrical Goods 
  • Hazardous and Dangerous Goods, Ammunition, Automobile Parts, Bicycles, Child Restraint Devices, Christmas Tree Lights, Firearms, Children’s Furniture, Protective equipment, Ride on Toys i.e. Skateboards, roller skates, roller blades, water amusement equipment, Projectile toys, E cigarettes.  
  • The sale of second-hand items and counterfeit/illegal goods 

This list may change at any time and Feasts & Friends reserves the right to refuse entry, remove attendance or permit trade at the markets at any time.
You must have your own public and product liability insurance. Please ensure you meet any local, state and federal law requirements.

Special Requirements for Food and Beverage Sites/Stalls

All Food truck Sites/Stalls need to have a groundsheet on the floor of their site/stall to prevent staining. This is a condition of attendance and trading. All food trucks site/stalls need to remove any rubbish before leaving the site.

Rubbish

Each stallholder is responsible for removing their own rubbish at the end of each event. Rubbish must not be left on site, nor placed in event or council rubbish bins. A fee of $35 will apply to any rubbish left onsite or in event or council bins. Bins provided by Feasts & Friends and council are for customer use only. Commercial waste must not be placed in these bins.

Damages

Any damage found to equipment, landscaping, lighting, St Pauls Lutheran Church’s property will be charged to the individual(s) responsible.

Power

​Vendors are not, under any circumstances, to approach or touch any power outlets around the event any time. If there are any issues with the power, Feasts & Friends' staff are to be contacted at the Information Desk or via the Feasts & Friends mobile immediately. 

All leads must be tagged and tested. Ensure all leads are run in a safe manner to the distribution board and do not create a trip hazard. Seek staff assistance before plugging in to ANY outlet. Please bring all necessary extension leads of minimum 25 metre length. Extension leads are not provided by Feasts & Friends. It would be greatly appreciated if all powered stalls could bring additional power leads as a precaution as we are not able to provide redundancy leads. If using a generator please ensure it has an RCD switch. Do not leave any petrol containers lying near your area. 

Exclusion of Liability

​To the maximum extent permitted by law, we exclude and are released from any liability to you and your employees, agents, contractors and invitees, whether in contract, tort, statute or any other way, for any personal or financial injury, damage or loss of any kind whatsoever (including, without limitation, any liability for direct, indirect, special or consequential loss or damage), sustained by you, your employees, agents, contractors, invitees and/or any other person, or for any costs, charges or expenses incurred by you, arising from or in connection with your occupancy of the Stall site, unless caused by (and only to the extent of) our wilful misconduct, negligence or breach of a statutory duty or warranty.

​Indemnity

You are liable for and indemnify us and our directors and officers from and against any claim or action (whether in contract, tort, statute or otherwise, including for negligence), liability, loss, damage, costs (including but not limited to, legal costs on a full indemnity basis), charges and expenses arising from or in connection with your occupancy of the Stall site, including, without limitation, loss of or damage to property, or personal injury or death of any person.
​
This indemnity is independent from your other obligations under these Terms and Conditions and will continue while you are a vendor and after you have ceased to be a vendor. We may enforce this indemnity before incurring expense.

​Wind Weights, Ground Protection and Rubbish

Wind weights are required on All legs of all gazebos. No pegs or guide lines are permissible on the Feasts & Friends site. This is a condition of trade.
Food Vendors are required to use a canvas groundsheet to prevent any leaks and spills and staining the area. Any stains will need to be repaired at your own cost. Please note spot checks will be carried out from time to time to ensure compliance with these requirements.

Presentation

All tables must have floor length tablecloths. Side walls are not permitted. Signage utilised at the site/stall must be presented in a professional manner.  Food Trucks are not to have tables or chairs – outdoor and airconditioned tables and seating will be provided by Feats & Friends. No loud music is to be played by vendors – live entertainment will be provided by Feasts & Friends.

​Final Things to Remember

  • Please bring a copy of any required permits and licenses.
  • Please ensure your vehicle/marquee presentation is at a high standard.
  • Please arrive with a positive and patient attitude to assist in a quick and efficient set up.
  • Please do not post any signage on existing buildings.
  • Please do not hang power cords on trees.
  • Do not leave your rubbish onsite or in event or council bins.
  • If there is a security issue report it immediately to the Feasts & Friends security staff. 
  • If there are problems with the power, report it immediately to the Feasts & Friends staff. 
  • Please do not store anything behind your stall site as it limits access to the power distribution boxes and extension leads. 
  • Fans are not permitted to be hung and/or suspended off the marquee. Pedestal and/or ground mounted fans may be used when positioned in the back of house. 
  • Heaters and/or air conditioners are not permitted.
