Bump-In Checklist for Vendors
ARRIVAL & PARKING
- Arrive on Time: Reach the venue during your allotted setup window.
- Park only in the designated vendor areas.
- Market Stall Holders: Ensure your vehicles are removed from the event space by 4:00 PM.
- Food Trucks: Do not reposition your food truck without express organiser guidance.
STALL/TRUCK SETUP PREPARATIONS
- Setup Deadline: All setup must be completed by 4:30 PM.
- Food Truck Readiness: Food trucks must be ready to serve the public no later than 5:00 PM.
- Unloading & Equipment Setup: Unload all equipment, decor, and materials as quickly as possible.
- Remove your vehicle as soon as you have unloaded and park it in the designated car park – then return to set up your stall.
UTILITY & POWERED SITE GUIDELINES
- IMPORTANT: If you are using a powered site, DO NOT AT ANY TIME TOUCH THE ELECTRICAL EQUIPMENT.
- Always seek the assistance of an organiser if you have any issues or require power adjustments.
VEHICLE MOVEMENT CAUTION
- IMPORTANT: Do not move or reposition any vehicles within the event space without explicit permission and guidance from the organisers. Unauthorised movement may result in penalties as outlined in our Terms and Conditions.
FINAL SETUP CHECK
- Ensure your stall or truck is tidy, all signage and promotional materials are correctly set up, and your compliance documents are accessible.
- Do a final review to confirm that you meet all timing requirements and guidelines.
Bump-Out Checklist for Vendors
ADHERE TO THE BUMP-OUT SCHEDULE
- Follow the organiser-provided bump-out times and instructions precisely.
- Wait for official instructions before starting to dismantle or remove any equipment
STALL/FOOD TRUCK CLEANUP
- Remove all equipment, display items, and personal belongings from your area.
- Leave the designated area clean and free of any clutter or litter.
VEHICLE MOVEMENT DURING BUMP-OUT
IMPORTANT Reminder: DO NO MOVE ANY VEHICES without explicit permission from the organisers.
FINAL CHECKS ON POWERED SITES
- Electrical Equipment Reminder: If you’re at a powered site, DO NOT TOUCH THE ELECTRICAL EQUIPMENT.
- If any adjustments are necessary, immediately contact an organiser for assistance.
DEPARTURE COORDINATION
- Follow the organiser’s guidance for the designated bump-out route and exit points.
- Double-check that all your materials are collected and your area is left in the required condition before arriving at your vehicle (if applicable).
REPORT ISSUES
- Immediately report any damage, missing items, or issues needing attention to the organisers before leaving.
